Executive secretary - Sharjah Executive secretary - Sharjah Others

 

 

 

 

Our client a leading Outdoor Media and signage industry is looking for a executive secretary for Managing Director for their office in Sharjah. 

 

Core Functional Responsibilities

 

  • Handles client’s queries and make the quotation as per the Managing Director’s advice.

 

  • Prepare site’s PowerPoint presentation related to the quotation.

 

  • Follow-ups confirmation

 

  • Internal coordination for the Municipality approvals related to the client’s artwork

 

  • Perform operational tasks such as artwork coordination with clients and internal department, production and installation process.

 

  • Raising invoices and ensure that it was being delivered to respective clients
  • Follow ups

 

  • Closely work with other key departments such as Finance, Human Resource, Information Technology, Production Department, Prints Department, Maintenance Department, and Sales Department.

 

  • Any other task assigned by MD.

 

General Operations and Admin Tasks

  • Screen incoming calls from external or internal parties intended for the Managing Director. Assist incoming guests and clients of the Managing Director

 

  • Perform administrative duties such as faxing, stamping and filling.

 

  • Prepare, assemble, receive and distribute various departmental reports

 

  • Maintains the Managing Director’s calendar of activities and time management

 

Experience Guidelines

Education

Experience

Graduate in any degree

5 years’ experience in similar role within outdoor media and signage industry background 

Related and internationally recognized Professional Certifications related to job profile.

Computer skills: Proficiency in the use of office software products (MS Word, Excel, PowerPoint, graphs, etc.). 

 

Excellent Leadership Skills

 

Strong written and verbal communication skills.

 

Effective Organizing Skills: must have ability to plan and prioritize tasks and manage deadlines.

 

A high degree of tact, diplomacy and discretion, and proven ability to maintain confidentiality.
